Job Description / Duties
Role Description
As the Event Coordinator (EC), you will play an integral role in supporting DMC's business
development strategy. Your responsibilities will encompass event production, coordination, and
support for various initiatives, such as the Markham Jazzlicious Winterfest and other major
festivals, sports events, FAM tours, and activations for the Conference, Meeting, and Event Office
(CMEO). By fulfilling these responsibilities, you will significantly contribute to Markham's visitor
economy.
In this position, you will report directly to the Business Development Manager, while also
collaborating closely with the Business Manager, the Stakeholder Relations & Marketing
Manager, and other members of the DMC Marketing team. Your collaboration will be crucial for
the successful execution of events and the overall achievement of DMC's objectives.
Key Responsibilities:
Plan, coordinate, and execute events organized by Destination Markham, such as the
Markham Jazzlicious WinterFest.
Coordinate and host stakeholder events, such as the Markham hotel roundtables, to
ensure the delivery of the best experiences for stakeholders.
Contribute to the delivery of an effective Conference, Meeting, and Event Services
Program (CMESP) to ensure conference, meeting, event organizers, and stakeholders
achieve their success metrics when planning and executing their events in Markham.
Ensure DMC's presence at events hosted in Markham.
Support the planning and execution of Destination Markham's tradeshow and conference
activations.
Collaborate with the Destination Markham marketing team to develop the design and
production of digital and print collateral materials.
Assist in the design, development, and execution of site inspections, familiarization (FAM)
tours, and internal events, as required.
Maintain ongoing contact with confirmed event planners to address their special
requirements.
Maintain a high level of knowledge about Markham hospitality and tourism, including
hotels, venues, attractions, and other points of interest.
Promote Markham facilities, attractions, suppliers, and products to conference, meeting,
and event clients and facilitate introductions.
Develop critical paths, timelines, and project status reports for management.
Ensure the CRM database is up to date with client contact information.
Collect, monitor, analyze, and report event performance data to evaluate the achieved
results.
Liaise with the Business Manager and Executive Administrative Assistant regarding
revenues, invoicing, purchase orders, and financial reconciliation.
Contribute to the preparation of the annual Business Plan.
Undertake projects as assigned by the Destination Markham management team.
Qualifications / Required Skills

Requirements:
Minimum 5 years relevant experience in event planning and execution or equivalent.
Proven track record of innovative, creative, successful events.
Experience with a DMO, CVB, convention centre, hotel or other tourism related
properties, an asset.
General knowledge of B2C and B2B marketing
Bachelor’s degree in business, event management or equivalent.
Proficiency with Microsoft Office Suite, Microsoft Teams, and ChatGPT use.
Experience with a CRM system, an asset.
Fluency in English (written and verbal) required. Fluency in additional language(s), an
asset.
Valid Ontario Class G driving license and reliable access to vehicle, required.
Additional Information
Working Conditions:
Requirement to travel to various event sites in the Greater Toronto Area.
Evenings and/or weekend work will be required.
Responding to after hour communication issues and/or requests.
Low risk of exposure to adverse working conditions.
Hybrid work environment.
